Hardware Lifecycle & Replacement
A failing laptop shouldn't be a surprise. Hardware lifecycle management is how we make sure it isn't, tracking what's aging out and planning replacement before it becomes an emergency instead of after.
What This Covers
Workstations, laptops, and servers. Network equipment (firewalls, switches, access points) follows the same underlying idea but is covered separately in Our Networking Standards.
How We Track It
Every managed device reports back to us continuously through the same tools handling its patching and backups (see How Automated Patching Works and How Backups Work), which gives us real visibility into age, performance, and warranty status, not a guess based on when someone remembers buying it. You can see the same asset list we're working from under the Technical Tab in your Customer Portal.
What Triggers a Replacement Recommendation
- Warranty expiration, hardware failures get a lot more expensive to deal with once a manufacturer warranty runs out.
- Vendor end-of-support, when an OS or firmware version stops receiving security updates, the device becomes a liability no matter how well it's still running physically.
- Repeated hardware-related tickets, a device that keeps generating support tickets is usually cheaper to replace than to keep patching around.
- Performance that can't keep up, hardware that's visibly slowing someone down is a productivity cost even before it fails outright.
How Replacement Actually Works
- We flag it before it fails, typically well ahead of the device actually becoming a problem, based on the criteria above.
- We quote the replacement hardware at cost, pass-through pricing, the same model as Microsoft 365 licensing, no markup added on top of what the hardware actually costs.
- Once approved, we procure and deploy it, enrolled in patching, backups, and endpoint security before it ever reaches the desk (same process as onboarding a new hire's device).
- The old device is wiped and retired securely, nothing walks out the door with data still on it.
What This Costs You
The tracking, planning, and coordination is part of your monthly relationship, we're not billing you separately to tell you a laptop is aging out. The replacement hardware itself is billed at cost when you approve it, nothing marked up, nothing bundled in a way that hides what it actually costs.
For larger replacement projects, financing is available through GreatAmerica for clients in good standing on their business credit report, so a fleet-wide refresh doesn't have to be paid for in one lump sum. Ask your account manager if that's worth exploring.
What You Should Do
- Check the Technical Tab in your portal periodically, it's the same data we're watching.
- Don't wait for something to fail before asking about replacing it, if a device feels slow or unreliable, tell us, that's exactly the kind of signal we want early.
- Approve replacement quotes promptly once we send them. The whole point of flagging it early is to avoid downtime, that only works if the timeline doesn't stall on the approval end.
