Onboarding & Offboarding an Employee: What to Expect

Both ends of an employee's time with you touch the same systems, accounts, devices, licenses, access, so we treat them as two sides of the same process. Here's what we need from you, and what we take care of on our end.

Onboarding a New Hire

What we need from you:

  • Full name and start date
  • Job title or role, this drives what access they actually need (see Our Security Principles on least privilege, new hires get what their role requires, not a copy of everyone else's access)
  • Any specific software or systems they'll need beyond standard email and file access

The earlier you tell us, the smoother day one goes. A ticket submitted the same morning someone starts means a scrambled first day, submit it as soon as a start date is confirmed.

What we handle:

Offboarding a Departing Employee

What we need from you:

  • The departure date, and whether it's planned or immediate
  • If there's any risk the departure won't go smoothly, tell us before the conversation happens, not after. We can have access cut the moment the meeting starts rather than scrambling once it's already underway.

What we handle:

  • Disabling account access and revoking active sessions, immediately once notified, this is the single most time-sensitive part of the whole process
  • Deprovisioning their Microsoft 365 license
  • Preserving access to their mailbox and files for a manager to review, for as long as you need, before the account is fully removed, just tell us the window
  • Coordinating device retrieval and getting it wiped and ready for the next hire

What You Should Do

  • Submit onboarding tickets as early as you have a confirmed start date, not the day before.
  • Report a departure to us immediately, even before it's finalized with the employee if there's any risk involved. A few minutes of lead time matters more here than almost anywhere else.
  • Don't try to disable an account or wipe a device yourself. It's easy to miss a logged-in phone or an active session doing it manually, let us handle the full shutdown properly.
