Understanding Your Invoice
Your invoice is built from a handful of straightforward line items, not a black box. Here's what each one actually means. This breaks down a Business Pro invoice specifically, SmartStart runs on a flat $199/mo rate instead and doesn't itemize the same way.
Where to Find It
Every invoice lives under the Financial Tab in your Customer Portal. If a charge on it doesn't make sense, the Technical Tab right next to it lists every asset we're actually billing for, servers, endpoints, and monitored devices, so you can check a line item against the real inventory.
The Base Retainer
$300/mo, flat. This funds the operational side of the relationship, helpdesk, network operations, security operations, and account management, independent of how many people or devices you have. It doesn't change based on usage.
Covered Users
$100/mo per covered user. A covered user is anyone using a company-managed workstation who gets full helpdesk support from our team. This is the line item that scales with headcount.
Servers
$200/mo per server, cloud-hosted or on-prem. Any server provisioned specifically for your business counts, you can see exactly which ones on the Technical Tab. If your website simply runs on our shared hosting, it isn't billed as a server.
On-prem servers carry an additional $50/mo for quarterly physical maintenance, dust, cabling, and component checks that a cloud-hosted server doesn't need (see Hardware Lifecycle & Replacement).
Monitored Devices
$35/mo per monitored device. These get firmware updates and alerting but no helpdesk support, think switches, routers, firewalls, SD-WAN appliances, shared workstations, or kiosks, anything that isn't tied to one specific employee but still needs to stay patched and watched.
Backup Storage
Backup storage is included up to 1 TB per covered user and 3 TB per server (see How Backups Work), comfortably more than a normal device or server actually uses. We monitor usage and reach out before an account gets close to its limit, this isn't a line item that shows up as a surprise. Storage beyond the included amount is billed at $15/TB per month, only for the amount over the limit.
Pass-Through Items
Some line items are billed at exactly what they cost us, no markup:
- Microsoft 365 licensing (see How Microsoft 365 Works with Triumphant)
- Keeper, your required password manager (see Why We Require a Password Manager)
If either of these changes, it's because your license count or user count changed, not because we adjusted pricing.
One-Time & Project Charges
Anything outside the recurring monthly items gets quoted upfront before it's billed:
- Cleanup projects, if your setup needed work before we could support it properly, that's scoped and quoted separately, never a surprise line item.
- Hardware replacements, billed at cost when approved (see Hardware Lifecycle & Replacement), with GreatAmerica financing available for larger purchases if that's useful to you.
If Something Looks Off
Cross-check the Technical Tab first, most questions answer themselves once you see the actual asset behind the charge. If something still doesn't add up, submit a ticket and we'll walk through it with you.
